I am having issues with my Google credentials. Is this related to UKG? What should I do?
As part of our transition to UKG Ready, some employees may have experienced hiccups with Google services, such as Gmail or Drive. These were related to the integration of our systems and a renewed focus on aligning employee names across platforms. CPS is implementing updated procedures to ensure consistency in the use of legal and preferred names in our records and systems. This update allows employees to display a preferred name where appropriate, while maintaining legal names in official records and backend systems.
If you would like to update the name that appears when you send emails, you can change your display name in Gmail by following these steps:
- Open Gmail and click the gear icon in the upper right corner, then select See all settings.
- Go to the Accounts tab.
- In the Send mail as section, find your email address and click edit info.
- In the pop-up window, enter your preferred display name, then click Save Changes.
Please note that this change only affects how your name appears in outgoing messages and does not change your legal name in CPS systems. Your email address will still appear as (your legal name)@cpschools.com.
You can also click here to change your Google Workspace display name.
Can we change schedule hours to summer hours?
At this time, schedules cannot be changed.
What periods are covered for the July 11th pay dates?
The July 11th pay date covers extra earnings from June 22 to June 28, as well as contract pay for 12-month employees. This will also include the payroll transition supplement for 12-month employees. Additionally, it will include summer deferred pay for employees with 10- and 11-month contracts.

From your desktop, UKG Ready is available through your OneLogin Portal. Using the UKG Ready App, please use your "09" employee ID number and network password to log in.

What do I do if I am locked out of my account?
The Division of Technology Innovation regularly reviews all locked accounts. Please try again in 30 minutes. If your account is still not available after 30 minutes, please submit a CPS Help Desk request.
Clock In/Out Procedures FAQs
What’s the expected clock-in procedure for exempt vs. non-exempt employees?
All hourly and salaried non-exempt employees are required to swipe in and out, which includes lunch breaks.
Salaried exempt employees will be required to punch in for attendance and punch in/out for additional contractual assignments that are paid at an hourly rate.
Do non-exempt employees clock in and out for lunch?
Yes, non-exempt employees will clock in and out for lunch every day.
We understand that we are required to use our employee ID number to clock in, but are there any additional instructions on how to use the UKG time clock?

The UKG project team is aware of the issue. They are working on a resolution. Please use the UKG App for now. Under 'My Time', select 'Timesheet Change Request' to submit your time.
Timesheet FAQs
What do I do about a missed time punch?
All missed punches, transfer codes, etc., will be initiated by submitting an electronic time change request in UKG.
Who is responsible for approving my timecard or should I approve it myself?
All employees will approve their own timecards at the end of each pay period. Once submitted, their timekeeper will review. Then, their supervisor will review and submit their final approval.
How do timekeepers see employee time cards to make corrections?
Employees are expected to use the time change request function to correct errors on their time cards. It is no longer the responsibility of the timekeeper to make timecard corrections; instead, the timekeeper will be responsible for reviewing timecards before the supervisor approves them.

How do I edit an employee's timesheet after I have approved and submitted it to payroll?
At this time, managers need to email the payroll department @cpspayroll@cpschools.com and provide a list of employee names / timesheets that need to be re-opened for editing.
Currently, managers can not re-open a timesheet that has been approved and submitted to the payroll department.
Leave Requests/Accruals FAQs
Is my leave accrual balance correct?
As of July 10, 2025, your leave accrual balance has been updated in UKG and should now accurately reflect your available leave. If you still have questions or concerns regarding your leave balance, please submit your question through Let’s Talk.

To request one hour of leave, select 'Request Type: Partial Day (Start/Stop)'.

Any leave submitted through Kronos, does not need to be resubmitted. IT will be importing the leave into UKG Ready.
