Creating filters and labels in your Gmail inbox provides a way to organize your incoming mail. You can sort your mail based on the sender, subject line, and much more. You can choose to auto-label incoming mail and add them to a designated inbox.
- Click the Settings gear in your CPS Gmail account.
- Click See all settings.
- Select Filters and Blocked Addresses tab.
- At the bottom of the page, select Create a new filter.
- Enter your search parameters. Then, click Search.
- All the emails that match your search parameters will be displayed.
- Review the displayed messages from your filter search query and select the messages that meet your requirements. You can also create a label for your selected messages at this time.
- If ALL of these messages meet your parameters, select the checkbox in the menu bar to mark all the boxes next to the messages in your search query.
- If only SOME of the previewed messages meet your parameters and others need to be excluded, review and adjust your filter settings based on those messages or select the checkbox next to those specific messages to apply the filter to.
- You can continue to narrow your search parameters until you have created the desired filter.
- If ALL of these messages meet your parameters, select the checkbox in the menu bar to mark all the boxes next to the messages in your search query.
- While the messages are selected at the filter search query, click on the Labels icon. Then, select Create new to create a new label.
- Enter your New label title and click Create.
- The new label will be applied to the selected messages.
- You can move / add your selected emails to the inbox (if you have set up multiple inboxes to collect your filtered emails) by selecting the messages to move to that inbox and clicking on the Move to Inbox icon. If the emails have been added to a new inbox, these messages will be contained in both the default inbox and your created inbox.
- To finalize your filter, now that you have completed the search for matching emails and created your label, click the Show search options (3 bars) icon for your filter.
- Click the Create filter button.
- Select the settings you want to apply for this filter (for example: "Apply the label: (choose label)"; you can also select Also apply filter to "#" matching conversations if all previewed messages met your filter parameters). Then, click Create filter to save.
- You will now see your filter under the Filters and Blocked Addresses tab in your Gmail settings.
- Refresh your Gmail screen.
- If you have set up an inbox to collect your filtered emails, the filter settings and labels will be applied. Your filtered emails will be included in your created Inbox.
- You can also locate your filtered emails based on the applied label.
- Click on Mail in the left sidebar.
- Then, select your created label to see emails that met your filter parameters.
- The bold number next to your label is the number of unread messages for that label.
